Warranty and after-sales questions are among the most frequent in our inbox — and most of the “broken machine” messages we receive trace back to the same two causes: scale and worn gaskets. Proper espresso machine maintenance is not complicated, but it has to actually happen. As a wholesale supplier supporting machines in 40+ countries by video call, here is the schedule we give every cafe that buys from us, plus the descaling rules that decide whether a boiler lasts three years or fifteen.
The Maintenance Schedule That Keeps Machines Alive
| Frequency | Task | Why it matters |
|---|---|---|
| Daily (close) | Backflush groups with water; wipe steam wands; empty and rinse drip tray | Coffee oils turn rancid overnight and taint every next-day shot |
| Weekly | Backflush with espresso detergent; soak portafilters and baskets; scrub group screens | Restores flow and pressure consistency |
| Monthly | Inspect group gaskets (portafilter should lock at ~45°); check shower screens for wear | A hardened gasket leaks pressure and channels shots |
| Every 3–6 months | Replace group gaskets and shower screens; test water hardness; descale if indicated | Gaskets and screens are consumables, not repairs |
| Yearly | Replace steam wand tips and solenoid valve seals as needed; full internal inspection | Prevents the mid-rush breakdown |
Descaling: The Decision That Sets Boiler Lifespan
Scale is dissolved mineral coming out of your water and onto the hottest surfaces — heating elements, boiler walls, valves. The rules:
- Test your water first. Above ~120 ppm total hardness, an espresso machine without water treatment will scale; above 250 ppm it will scale fast.
- Prevention beats cure: a softener or scale-inhibiting filter on the inlet costs a fraction of a boiler replacement and stretches descaling intervals dramatically.
- Descale on evidence, not habit: slower steam, falling boiler pressure, white flakes in the drip tray, or a hardness test = time. Soft-water sites may never need it.
- Commercial multi-boiler machines: descale carefully. Aggressive acid in a heat-exchanger machine can dislodge scale chunks into valves. When in doubt, do it with guidance — our buyers do it live on a video call with our technician.
The Spare Parts Shelf Every Cafe Should Keep
Group gaskets, shower screens, a steam tip, and one solenoid valve — under $50 of parts prevents nearly every emergency we see. This is why we include a consumables kit with machine orders and stock parts for every model we sell (details in the buyer’s guide). If your supplier cannot ship a gasket set by courier this week, you bought from the wrong supplier — a point we make bluntly in the wholesale sourcing checklist.
Grinder Maintenance Belongs in the Same Routine
Half of “machine problems” are actually grinder problems — dull burrs make shots run fast and bitter, and the barista compensates by choking the machine. Burrs are consumables too (300–500 kg per steel set): see the grinder guide for replacement symptoms and intervals.
What Voids Warranties (Ours and Everyone Else’s)
- Scale damage with no water treatment in a hard-water area — the single most common claim we have to refuse industry-wide
- Descaling with vinegar or undiluted acids (corrodes seals and brass)
- Running groups dry or steam boiler empty
- Third-party rewiring of the control box
Everything else — normal wear, component defects, control faults — is what the 1-year warranty and lifetime video support are for.
FAQ
How often should a commercial espresso machine be descaled?
On evidence, not a calendar: test water hardness and watch for slow steam, pressure drop or scale flakes. Hard-water sites without treatment may need it every 3–6 months; treated or soft-water sites rarely, if ever.
Can I descale with vinegar?
No — vinegar corrodes seals and brass and leaves taste taint. Use a citric/sulfamic-based espresso machine descaler at the stated dilution.
How often do group gaskets need replacing?
Every 3–6 months in commercial use. If the portafilter locks past vertical, the gasket is already hardened and leaking pressure. (E61 groups use universal gasket sizes — see the E61 guide.)
Do you provide maintenance support after purchase?
Yes — every machine we supply includes a 1-year warranty, lifetime video-call technical support, and courier-shipped spare parts for all models.
