How to Order a Coffee Roaster from Yoshan: From Quote to Delivery in 9 Steps

Buying a roaster from overseas is a sequence of decisions, and most of the anxiety comes from not knowing what the next step is. This page sets out the whole sequence — what you send, what you receive, when money moves, and what you can check at each point — so there are no surprises between your first message and the crate at your door.

Step 1 — Send us four things

To quote accurately we need, in one message:

1. Your country (and city or port if you know it).
2. Your electricity — voltage, phase, frequency. If unsure, a photo of a nameplate on another appliance in the building is enough.
3. Your gas — LPG or natural gas — or that you need electric heating.
4. Your volume — kilograms of roasted coffee per week, now and in a year.

Step 2 — Quotation

Most enquiries are answered within the hour, and 97% within 24 hours — that is measured across more than fifteen thousand replies, not a slogan. You receive a written quotation with the model, configuration (gas type, voltage, colour, options such as destoner, ESP filter or afterburner), price, production time, and freight estimate to your port or door. It includes the spec sheet for the exact configuration — dimensions, weights, case size, gas consumption, connection sizes — so you can check your site and get your own freight quotes.

Prices are published on every product page — in US dollars, EXW Shenzhen, from our 2026 price list — so you know the machine price before you ask. The quotation adds freight, any custom colour or voltage items, bundles and extended warranty, and confirms the production time.

Step 3 — Proforma invoice

When the configuration is agreed, we issue a proforma invoice (PI) stating the goods, the price, the payment terms, the production time and the delivery terms (EXW, FOB, CIF or door delivery as agreed). Read the PI carefully; it is the document the order is built to.

Step 4 — Deposit

Production starts on receipt of a 50% deposit. We accept T/T bank transfer, L/C, PayPal and credit card; Alibaba Trade Assurance is also available if you prefer to pay through the platform. Payment goes only to the account shown on our letterhead PI. We confirm receipt in writing and give you the production schedule with the expected test date.

Step 5 — Production

Your machine goes through the build described on How We Build: casting and machining, sheet metal and welding, finishing in your colour, burner and panel assembly for your gas and voltage, and the first two of the three inspections. If you want progress photos — the welded frame before paint, the machine in colour before assembly — ask and we send them.

Step 6 — Test roast and video inspection

When the machine is complete it is test-roasted with real green coffee on your gas and voltage, then filmed running. You can join a live video call at your time and direct the inspection. Details on the video inspection page. You receive the video, the inspection sheet and the test roast curve.

Step 7 — Balance payment

The remaining 50% balance is paid after you have approved the video inspection and before the machine is shipped. The machine is not shipped until you have seen it run and approved it.

Step 8 — Packing, shipping and documents

The machine is packed as described on the export packing page — film, fixed to a base, fumigated ISPM-15 wooden case — and photographed before the case is closed. It is booked with the forwarder (ours or yours) and loaded. You receive the shipping documents: commercial invoice, packing list, bill of lading, and certificate of origin where required, plus the CE and RoHS certificates and the FDA food-contact report relevant to your destination. Step 9 — Delivery, installation, training

On arrival, use the unboxing checklist, then follow the installation and exhaust page. Your gas fitter and electrician connect the supplies; we support commissioning remotely and provide operator training by video. The one-year whole-machine warranty runs from delivery.

Which payment methods do you accept?

T/T bank transfer, L/C, PayPal and credit card, and Alibaba Trade Assurance for buyers who want platform escrow. Terms are 50% deposit before production and 50% before shipment. Payment details are always sent on our letterhead PI and confirmed by a second channel; if you ever receive changed bank details by email, call us before paying.

Can I order through a distributor in my country?

Yes, where we have one. Ask and we will tell you whether there is a Yoshan distributor for your region; otherwise we supply direct and provide the same support.

How long from deposit to delivery?

For 1–15 kg roasters, ask us for the current production time when you enquire — it moves with the order book. Larger machines are longer: YS-20 to YS-60 around 60–90 working days, YS-120 to YS-360 three to six months, and the electric SD-3 40–60 days. In-stock accessories ship in 7–15 working days. Add sea freight to your port and customs clearance, and allow extra around Chinese New Year. The full timeline is on the PI.

Is there a minimum order?

No — one machine. Most of our customers start with one roaster, and 62% of our store reviewers have bought from us more than once.

Can I order accessories or a second machine later and ship together?

Yes. Spare parts kits, destoners, loaders or a second roaster can be added to an order and shipped in the same container to save freight.

What documents will my customs ask for?

Commercial invoice, packing list, bill of lading and, depending on your country, certificate of origin and conformity documents. Send us your country and we tell you what ships with the machine.
