“Do you have the shipping schedule?” and “How do I track the sea shipment?” are questions we answer every week. The full answer is not a single number of days but a chain of stages, each with someone responsible for it. When you can see the chain you can plan an installation, a launch or a season around it — and you know who to ask when a stage runs long.
Where this page sits
This is the factory’s view of the timeline: what happens to your machine, in order, from deposit to delivery. For the freight side in detail — sea versus air, transit times by region, customs practice — see our shipping from China guide.

The stages
| Stage | What happens | Who controls it | What you receive |
|---|---|---|---|
| 1. Quotation and PI | Configuration agreed; production time and freight estimate stated | Yoshan (most enquiries answered within the hour) | Quotation, spec sheet, PI |
| 2. Deposit (50%) | Production slot booked on receipt | You | Confirmation and production schedule with expected test date |
| 3. Production | Casting, machining, sheet metal, finishing, assembly; first two inspections | Yoshan | Progress photos on request |
| 4. Testing | Gas, electrical, heat-up, test roast, final QC | Yoshan | Test roast curve; inspection sheet; video |
| 5. Video inspection and balance (50%) | You inspect live or recorded; balance paid | You | Your approval; our confirmation |
| 6. Packing | Film, fixing, ISPM-15 case, marking, photographs | Yoshan | Crate photographs |
| 7. Booking and loading | Vessel booked; cargo delivered to port and loaded | Forwarder (ours or yours) | Booking confirmation, B/L copy |
| 8. Sailing | Transit to your port | Shipping line | Vessel and container tracking |
| 9. Clearance | Documents lodged; duty paid; cargo released | Your broker | Release notice |
| 10. Delivery | Container or crate delivered to your door | Your forwarder or haulier | The crate |
Production time depends on model, colour and options and is stated on your quotation. As a guide from our price list: YS-20 to YS-60 around 60–90 working days; YS-120 to YS-360 three to six months; the electric SD-3 40–60 days; 1–15 kg roasters vary with the order book, so ask for the current figure; in-stock accessories 7–15 working days. Sailing time depends on your port. Clearance time depends on your country and your broker. We do not publish a single “delivery in X weeks” figure because it would be wrong for most destinations; we give you the figure for your configuration and your port on the PI.
Tracking your machine
- During production: ask for photos at the welded-body stage and the painted stage; we send them.
- At testing: you receive the test date in advance so you can join the video inspection.
- After loading: the B/L gives the vessel name and container number; shipping lines provide online tracking by container number, and your forwarder will pass on milestones — departure, transhipment, arrival.
- At the port: your broker tells you when documents are lodged and when cargo is released.
If at any stage you have not heard from us for longer than expected, message us. A stage that is running long is something we would rather tell you about than have you discover.

What commonly moves the timeline
- Custom colours add sampling and sourcing time at stage 3 — see powder coating.
- Country-specific certifications must be started before stage 6 — see shipping documents.
- Vessel schedules to some ports are weekly or less; a booking missed by a day can cost a week at stage 7.
- Peak seasons — before major holidays in China and in the run-up to year end — lengthen both production and sailing. If you need a machine for a date, tell us the date, not the week you would like to order.
What this means for you
- You can plan an installation date around a schedule you were given in writing, with a named stage for every delay.
- Nothing is invisible: the machine is filmed at stage 4, photographed at stage 6, and tracked by container number from stage 7.
- The balance is paid at stage 5, after you have seen the machine — not before the machine exists.
Frequently asked questions
Can I get the machine faster by paying more?
Air freight is possible for the smallest machines and shortens stage 8 dramatically. Production time cannot be bought down without skipping steps we will not skip. If your date is tight, the honest lever is to order earlier.
What if I need to delay delivery after the machine is built?
Tell us. A finished machine can be held in our plant for a reasonable period by agreement; storage at a port is expensive and best avoided.
Who arranges the truck from the port to my roastery?
Your forwarder or broker, or ours under door-delivery terms. Tell us at quotation which you prefer; it determines the Incoterm on the PI.
How do I know the machine has actually shipped?
The B/L copy with the container number, and the shipping line’s tracking page. Ask us for the tracking link the day the B/L is issued.
Final thoughts
A delivery timeline is a list of promises with names on them. Ours are on the PI, stage by stage, and the order process page shows how they fit around payment and inspection. For the freight and customs side, the shipping guide goes into detail. Or return to the full build sequence.
Tell us your country, voltage, gas type and kilograms per week — and the date you need the machine — and we will send the matching spec sheet with a stage-by-stage timeline. Request the spec sheet · WhatsApp: +86 184 0771 4607
